All cancellation fees charged by Aurora Luxury Iceland are only intended to cover our direct cost of amending and/or cancelling your reservation.
All communications relating to these terms and conditions (in particular any requests to cancel or amend your tour arrangements) must be from the lead traveller of each reservation and processed through contact@auroraluxuryiceland.com Once delivered the amendment and/or cancellation need to be confirmed by Aurora Luxury Iceland before further action can be taken. If a reimbursement is in order then it shall be made in accordance with all procedures and processed within 7 working days, and the stipulated amount will be transferred to the same credit card or bank account that was used for booking. Please note that we can not be responsible for delays of the delivery of the reimbursement to your account once it has been processed on our end. For tours purchased through another vendor please reach out to the vendor directly with your refund and/or cancellation request.
Please make sure to fill in and/or provide all necessary details upon booking your tour/s with Aurora Luxury Iceland. Once you have completed the booking process a booking confirmation will follow, containing your booking number and the voucher/s for the services booked. The voucher will be your proof of payment so please bring it with you on the day of your tour (printed or on mobile device). Please note that you are responsible for carefully checking all details on your confirmation and related travel documents to ensure that they are correct. In the event of a discrepancy, such as booking mistakes where the wrong date and/or an incorrect number of participants was booked please contact Aurora Luxury Iceland immediately as it may not be possible to make amendments to your reservation when it gets closer to your departure date. Aurora Luxury Iceland cannot be responsible for mistakes in the booking process.
All Aurora Luxury Iceland tours are undertaken on the responsibility of its participants. Aurora Luxury Iceland does not assume any responsibility for accidents that are caused by its customers or can be traced to their own actions.
All Aurora Luxury Iceland tours are weather and condition dependent and we reserve the right to change your itinerary or cancel your trip last minute with your safety in mind.
Cancellation of all tours:
- Cancellation fee of 100% is charged if cancelled 48 hours or less before the event
- Cancellation fee of 50% is charged if cancelled 4 days or less before the event
- Cancellation fee of 10% is charged if cancelled 30 days or less before the event
*Furthermore, for bookings of all northern lights tours operated by Aurora Luxury Iceland, a minimum of 24 hours’ notice of cancellation prior to your scheduled tour departure is required for a full refund. If a cancellation is made with less than 24 hours’ notice prior to departure no refund is given. For the 24-hour policy to be applicable, cancellations need to be made and delivered to Aurora Luxury Iceland via contact@auroraluxuryiceland.com. The 24-hour policy does not honour cancellation requests sent through other channels.

Aurora Luxury Iceland reserves the right to alter itineraries and/or timetables should it be necessary, due to adverse weather and or other related conditions. Aurora Luxury Iceland is not responsible for expenses and/or other related costs due to factors outside of its control, such as flight delays, changes and or cancellations, injuries, weather, war, natural disasters etc. and/or other unforeseeable matters. You are responsible for providingAurora Luxury Iceland with the correct contact information and related details so that we can keep you informed in the event of changes made to the services booked.
Prices
Please note that all prices for the services provided by Aurora Luxury Iceland and its sub-brands are in the company’s local currency, Icelandic Krona (ISK). The price displayed in the checkout step is the final price including VAT. However, as a local tour operator Aurora Luxury Iceland can not be responsible for currency fluctuations and or additional fees outside its control that may be applied such as bank transfer fees, credit card fees, etc.

Pick-up & Drop-off Services
Aurora Luxury Iceland offers pick-up and drop-off services for most of its tours. Choose the pick-up option in the booking process should you wish so. Please read the tour description very carefully to see if pick-up and drop-off services are included in the price, can be added as an extras or the activity in question only offers the option of meeting us on location.
You as the traveller are responsible for your pick-up, this includes providing Aurora Luxury Iceland with your pick-up location in time as well as being ready at the correct time for the pick-up for your tour. Aurora Luxury Iceland will provide you with information about your pick up time on your voucher which is provided upon booking. If you are unsure when to be ready for your scheduled tour then please get in touch via contact@auroraluxuryiceland.is.
Please note that missing the pick-up does not entitle you to a refund of the price paid for the services. You are responsible to be ready for pick-up at the assigned pick up point from the start of the pick up time in order to not miss our guides when they arrive to pick you up.
Travel insurance
As with any and all world travel, we strongly recommend that you purchase a travel insurance policy in your home country that covers your cost should you have to cancel your travel reservation with short notice. These kinds of travel insurances are not expensive and frequently cover other risks. Having travel insurance is always a good additional security when travelling around the world.
Icelandic weather and conditions
All Aurora Luxury Iceland tours and outdoor activities are dependent on the icelandic weather and general conditions. Aurora Luxury Iceland reserves the right to alter routes, itineraries, departure times and or cancel your tour without prior notice with your safety in mind, should the necessity arise.
Please keep in mind that Iceland is and will always be Iceland. The weather changes fast on our northernmost island in the world, and with it conditions change. Our guides are specially trained to deal with changing conditions and their number one priority is to make decisions with your safety in mind. Please be aware of this and respect your guide’s authority to do so. This is especially valid for winter travel in Iceland. Our summer tours, operated from June through August, are rarely adversely affected by harsh weather.
Aurora Luxury Iceland can not be held responsible for any loss, damage, accident, injury, sickness, schedule change or other factors due to weather, strike, natural disasters or any other cause beyond Aurora Luxury Iceland control. Aurora Luxury Iceland acts in good faith and cannot be held responsible for defaults or delays of organisations that are not a part of the Aurora Luxury Iceland collaborators or suppliers such as individual agencies, hotels, other tour operators, airlines, guides, restaurants or any other person‘s or company‘s act.
In the case of any changes to flights (domestic and international), the passenger is responsible for any additional costs incurred as a result of such changes (i.e. additional hotel nights, meals, transfers, etc.), at the time provided. We, therefore, advise all customers to have comprehensive travel insurance in place to meet all contingencies.
Clothing
Appropriate footwear and suitable outdoor clothing should be worn. We reserve the right to refuse participation to customers who are dressed inappropriately or with inappropriate footwear since this will put the client’s well-being and safety at risk.
Assumed risk & Outdoor activities
Guests/Clients are advised that all activities are undertaken entirely at their own risk and they must behave in a fit and proper manner at all times in accordance with Aurora Luxury Iceland and must take proper responsibility for their own safety. All Aurora Luxury Iceland tours and outdoor activities carry inherent risks and Aurora Luxury Iceland or its partners do not assume any responsibility for accidents that are caused by its customers or can be traced to their own actions or are caused by factors outside of human control. With the purchase of your trip you agree to these conditions, understand its implications and accept responsibility for your participation in your trip. Depending on the excursion, you may be requested to sign an additional liability release.
Northern Lights tour
If you book a northern lights tour with Aurora Luxury Iceland and you do not see any lights, you can use your ticket again and get a free seat any time you want until you succeed to see them. Just remember to hold on to your ticket.
If you have booked a private Northern Lights tour and you do not see the Northern Lights on that tour, you can join our small group tour for free until you have seen them.
If we need to cancel a Northern Lights tour due to weather conditions, we will either reschedule you or refund you, if you are not able to reschedule.
If you went on a Northern Lights tour with us and you did not see the lights and you are not able to rebook for a 2nd try, Aurora Luxury Iceland will not refund you. Aurora Luxury Iceland never refunds the northern lights tour if it has been taken, unless it is an unusual situation caused by the organiser.
Alcohol and drugs:
We reserve the right to refuse participation to clients we believe are under the influence of alcohol or drugs, in such circumstances, no refund shall be given. Our guides reserve the right to refuse participation to any customer whose conduct or manner is likely to cause offence, upset or put other passengers in danger. In such cases, full cancellation charges apply.
Reviews & Feedback:
Aurora Luxury Iceland welcomes all feedback, both positive as well as negative as it helps us improve our overall services, and performance. We would greatly appreciate it if you could share your tour experience with us. Please note that all complaints must reach Aurora Luxury Iceland within 5 days from the completion of your tour. Otherwise, possible compensation is not valid.
Privacy Policy and Personal Information
Aurora Luxury Iceland will not give clients personal information to anyone, unless it is required for booking of activities, reservations or other related requirements for your particular bookings.
Aurora Luxury Iceland can use your personal information to send you important messages if it needs to. This information will not be given to 3rd parties.
These terms and conditions should be interpreted in coherence with Icelandic law. Should any conflict arise or should any person or institution feel that they have any claim against Aurora Luxury Iceland on the grounds of these terms and conditions then all such matters will be subjected to due process within the Icelandic court system.
